Privacy Policy

Effective date: September 23, 2026

This Privacy Policy explains how WisdifyHub (“WisdifyHub,” “we,” “us,” or “our”) collects, uses, discloses, and safeguards information when you use our website and platform for scheduling, payments, attendance tracking, and client communication (the “Service”). By creating an account or otherwise using the Service, you agree to the collection and use of information in accordance with this Policy.

If you have questions about this Policy, contact us at hello@wisdifyhub.com.

1. Who This Policy Covers

WisdifyHub is used by studios, independent instructors, tutors, coaches, and training institutions (“Studios,” “you,” or “Studio Accounts”) to run their teaching or coaching business. Studio Accounts, in turn, add information about their own students, parents/guardians, and clients (“End Clients”) into the Service.

For information about End Clients, the Studio Account is the data controller and WisdifyHub acts as a data processor (or “service provider,” depending on applicable law), processing that information only to provide the Service and on the Studio’s instructions. Studios are responsible for ensuring they have a lawful basis and any required consent (including parental or guardian consent where an End Client is a minor) before entering End Client information into WisdifyHub.

2. Information We Collect

Account & Business Information

  • Name, email address, phone number, and password (or SSO credentials) when you sign up.
  • Business details such as studio name, subject/skill type, country, time zone, and staff members you invite.

End Client (Student / Client) Information

  • Names, contact details, and profiles that a Studio Account enters for students or clients.
  • Session history, attendance records, learning goals, level tracking, and session notes.
  • AI-generated progress reports created from the notes a Studio Account writes (see Section 4).

Payment Information

  • Invoices, session packages, and subscription billing details. Card and bank details are collected and processed directly by our payment processors — Stripe, Razorpay, or PayPal, depending on your country — and are not stored on WisdifyHub’s own servers.

Communications Data

  • Content and metadata of messages sent through the Service via WhatsApp (Meta’s WhatsApp Business Platform) and email, including delivery status and opt-in/opt-out records.

Usage & Device Information

  • Log data, device and browser type, IP address, approximate location (country, for currency and tax display), and pages visited.
  • Product analytics collected via PostHog, used to understand feature usage and improve the Service.

Cookies

We use essential cookies to keep you signed in and secure, and analytics cookies to understand how the Service is used. You can control cookies through your browser settings; disabling essential cookies may prevent parts of the Service from working.

3. How We Use Information

  • To provide, operate, and maintain the scheduling, payments, attendance, messaging, and reporting features of the Service.
  • To process payments and payouts through our payment processors.
  • To send session reminders, invoices, and progress reports to End Clients on a Studio’s behalf.
  • To generate AI-assisted progress reports from notes a Studio Account writes.
  • To provide customer support and respond to inquiries.
  • To monitor, secure, and improve the Service, including detecting fraud and abuse.
  • To send account, billing, and product-related communications, and — where you have opted in — marketing communications.
  • To comply with legal obligations.

4. AI Features

WisdifyHub uses a third-party AI provider (Anthropic) to turn short session notes written by a Studio Account into structured progress reports. The note text and relevant session context are sent to the AI provider for processing and are used to generate the output shown to the Studio Account; they are not used by WisdifyHub or our AI provider to train models on other customers’ data. Studio Accounts are responsible for reviewing AI-generated content for accuracy before it is sent to an End Client.

5. How We Share Information

We do not sell personal information. We share information only as follows:

  • Within a Studio Account — with the staff members and instructors a Studio Account invites to its workspace, and with End Clients receiving their own session/progress communications.
  • Service providers (subprocessors) — vendors who process data on our behalf, including Supabase (database, authentication, and file storage), Stripe, Razorpay, and PayPal (payment processing), Meta (WhatsApp Business Platform messaging), Anthropic (AI progress report generation), PostHog (product analytics), and our hosting provider, Vercel.
  • Legal & safety — where required to comply with law, enforce our Terms of Use, or protect the rights, property, or safety of WisdifyHub, our users, or others.
  • Business transfers — in connection with a merger, acquisition, financing, or sale of assets, subject to standard confidentiality protections.

6. International Data Transfers

WisdifyHub is used across many countries, and the service providers listed above may process and store information in countries other than your own, including the United States. Where required, we rely on appropriate safeguards (such as standard contractual clauses) for these transfers.

7. Data Retention

We retain account and End Client information for as long as a Studio Account remains active, and for a reasonable period afterward to comply with legal, tax, and accounting obligations or to resolve disputes, after which it is deleted or anonymized. Retention periods may vary by country to reflect local legal requirements (for example, financial record-keeping rules). A Studio Account can request deletion of its data at any time by contacting us.

8. Data Security

We use industry-standard technical and organizational measures — including encryption in transit, access controls, and reputable infrastructure providers — to protect information against unauthorized access, alteration, disclosure, or destruction. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

9. Your Rights

Depending on your country of residence, you may have rights to access, correct, export, or delete your personal information, or to object to or restrict certain processing, under laws such as the GDPR (EU/UK), CCPA (California), DPDP Act (India), LGPD (Brazil), PIPEDA (Canada), POPIA (South Africa), PDPA (Singapore), and similar laws elsewhere. To exercise these rights, contact us at hello@wisdifyhub.com. If your data was entered by a Studio Account you are a student or client of, we may direct your request to that Studio, since they control that data.

10. Children’s Data

WisdifyHub is intended for use by studios, instructors, tutors, coaches, and institutions, not directly by children. Where a Studio Account’s students are minors, the Studio Account is responsible for obtaining any parental or guardian consent required under applicable law (for example, COPPA in the United States) before entering that minor’s information into the Service.

11. Changes to This Policy

We may update this Privacy Policy from time to time. If we make material changes, we will notify Studio Accounts by email or through the Service. The “Effective date” above reflects the latest revision.
